Aylen Adventures is a travel agency specializing in family travel planning under Travel Planners International. We provide:

  • Travel consultation and planning services

  • Booking of flights, hotels, cruises, vacation packages, and activities

  • Custom itinerary creation

  • Travel recommendations and advice

  • Assistance with travel documentation and requirements

  • Customer support before, during, and after your trip

1.2 Independent Contractor Status

Aylen Adventures acts as an independent contractor and intermediary between you and travel suppliers (airlines, hotels, cruise lines, tour operators, etc.). We are not the principal or provider of the actual travel services. All travel arrangements are subject to the terms and conditions of the respective suppliers.

1.3 No Guarantees

While we strive to provide accurate information and excellent service, we do not guarantee:

  • Availability of specific travel options

  • Pricing accuracy from third-party suppliers

  • The quality of services provided by travel suppliers

  • That travel plans will proceed without interruption or change

2. Booking and Reservations

2.1 Booking Process

When you request travel services:

  1. Consultation: We discuss your travel needs, preferences, and budget

  2. Proposal: We present options and pricing for your approval

  3. Confirmation: You authorize us to proceed with bookings

  4. Payment: You provide payment as required

  5. Documentation: We provide confirmations, itineraries, and travel documents

2.2 Authorization to Book

By engaging our services, you authorize Aylen Adventures to:

  • Make reservations on your behalf

  • Provide your personal information to travel suppliers as necessary

  • Accept the terms and conditions of travel suppliers on your behalf

  • Process payments for travel arrangements

2.3 Accuracy of Information

You are responsible for providing accurate information, including:

  • Full legal names (as they appear on passports/IDs)

  • Dates of birth

  • Passport numbers and expiration dates

  • Dietary restrictions, accessibility needs, or special requests

  • Contact information

Errors in the information you provide may result in additional fees, inability to travel, or loss of reservations.

2.4 Booking Confirmation

All bookings are subject to availability and confirmation by travel suppliers. A booking is not guaranteed until:

  • We receive written confirmation from the supplier

  • Required deposits or payments are received

  • We will send you a confirmation email with booking details

3. Pricing and Payment

3.1 Service Fees

Our compensation may come from:

  • Supplier Commissions: We earn commissions from hotels, cruise lines, tour operators, and other suppliers at no additional cost to you

  • Planning Fees: For certain services, we may charge a planning or consultation fee

  • Service Fees: In some cases, we may charge a service fee in addition to or instead of supplier commissions

All fees will be clearly disclosed before you authorize any bookings.

3.2 Travel Costs

You are responsible for all costs associated with your travel, including but not limited to:

  • Flights, hotels, cruises, and other accommodations

  • Tours, activities, and excursions

  • Travel insurance

  • Visa and passport fees

  • Meals and beverages (unless included)

  • Ground transportation

  • Gratuities and service charges

  • Personal expenses

3.3 Price Changes

Travel prices are subject to change until payment is received and bookings are confirmed. Factors that may affect pricing include:

  • Supplier rate changes

  • Currency fluctuations

  • Fuel surcharges

  • Government taxes and fees

  • Availability and demand

We will notify you of any significant price changes before finalizing bookings.

3.4 Payment Terms

Deposits: Most travel arrangements require a deposit to be made at the time of booking. Deposit amounts vary by supplier and are typically non-refundable.

Final Payment: Full payment is typically due 30-90 days before departure, depending on the supplier's requirements.

Payment Methods: We accept credit cards, debit cards, checks, and electronic transfers. Payment processing fees may apply.

Late Payment: Failure to make payments by the due date may result in cancellation of reservations and loss of deposits.

3.5 Price Accuracy

We make every effort to provide accurate pricing. However, if an error occurs:

  • We will notify you immediately

  • You may choose to proceed at the correct price or cancel without penalty

  • We are not obligated to honor incorrect pricing

4. Cancellations, Changes, and Refunds

4.1 Supplier Policies

All cancellations, changes, and refunds are subject to the policies of individual travel suppliers. These policies vary widely and may include:

  • Non-refundable deposits or payments

  • Cancellation fees that increase as the departure date approaches

  • Change fees for modifications to reservations

  • No refunds for certain types of bookings (e.g., promotional rates)

We will inform you of applicable policies before booking.

4.2 Our Cancellation Policy

Service Fees: Any planning fees or service fees paid to Aylen Adventures are generally non-refundable once services have been rendered.

Cancellation Assistance: If you need to cancel, we will:

  • Contact suppliers on your behalf

  • Process cancellation requests according to supplier policies

  • Provide documentation of cancellations and any refunds due

  • Assist with travel insurance claims if applicable

Cancellation Deadlines: You must notify us in writing of any cancellation or change request. We cannot guarantee processing of requests received after business hours or on weekends.

4.3 Changes to Reservations

Changes to existing bookings (dates, names, accommodations, etc.) may incur:

  • Supplier change fees

  • Fare differences

  • Additional service fees from Aylen Adventures

We will provide a cost estimate before processing any changes.

4.4 Supplier-Initiated Changes

Travel suppliers may change or cancel reservations due to:

  • Operational issues

  • Weather conditions

  • Force majeure events

  • Overbooking

In such cases:

  • We will notify you as soon as we are informed

  • We will assist in rebooking or finding alternatives

  • Compensation is subject to supplier policies

  • We are not liable for supplier-initiated changes

5. Travel Insurance

5.1 Strong Recommendation

We strongly recommend purchasing comprehensive travel insurance for all trips. Travel insurance can protect you against:

  • Trip cancellation or interruption

  • Medical emergencies

  • Lost or delayed baggage

  • Travel delays

  • Emergency evacuation

5.2 Not Our Responsibility

We are not responsible for costs incurred due to:

  • Illness, injury, or medical emergencies

  • Trip cancellations for personal reasons

  • Weather-related disruptions

  • Supplier bankruptcies or closures

  • Acts of terrorism or political unrest

  • Natural disasters

Travel insurance can help mitigate these risks.

5.3 Insurance Assistance

We can help you obtain travel insurance through reputable providers. Insurance premiums are generally non-refundable once purchased.

6. Travel Documents and Requirements

6.1 Your Responsibility

You are solely responsible for obtaining and maintaining valid travel documents, including:

  • Passports (valid for at least 6 months beyond your return date for most international travel)

  • Visas and entry permits

  • Health certificates and vaccination records

  • Travel authorizations (e.g., ESTA for U.S. travel)

  • Parental consent forms (if traveling with minors)

6.2 We Provide Guidance

We will inform you of known documentation requirements for your destination(s). However:

  • Requirements can change without notice

  • You should verify requirements with official government sources

  • We are not liable for denied entry or fines due to insufficient documentation

6.3 Name Accuracy

Critical: Names on all bookings must exactly match the names on your government-issued ID or passport. Even minor discrepancies can result in:

  • Denied boarding

  • Inability to check into hotels

  • Additional fees to correct

  • Complete loss of reservation value

7. Health and Safety

7.1 Travel Advisories

We recommend checking travel advisories from official sources:

  • U.S. Department of State (travel.state.gov)

  • Centers for Disease Control and Prevention (CDC)

  • World Health Organization (WHO)

You are responsible for understanding risks associated with your destination and taking appropriate precautions.

7.2 Medical Fitness for Travel

You are responsible for ensuring that you and your travel companions are medically fit to travel. Certain activities, destinations, or travel conditions may not be suitable for individuals with specific health conditions.

7.3 Special Needs

If you or your travel companions have:

  • Mobility limitations

  • Dietary restrictions

  • Medical conditions requiring special accommodations

  • Accessibility needs

Please inform us as early as possible. We will make reasonable efforts to accommodate your needs, subject to the capabilities of our suppliers. However, we cannot guarantee that all requests can be fulfilled.

8. Limitations of Liability

8.1 Our Role

Aylen Adventures acts solely as an intermediary between you and travel suppliers. We are not responsible for:

  • Acts or omissions of airlines, hotels, cruise lines, tour operators, or other suppliers

  • Quality of accommodations, meals, or services

  • Delays, cancellations, or changes made by suppliers

  • Loss, damage, or theft of personal property

  • Personal injury or death caused by suppliers

  • Force majeure events (weather, natural disasters, strikes, political unrest, etc.)

8.2 Limitation of Damages

To the maximum extent permitted by law, our total liability to you for any claim related to our services shall not exceed the total amount of fees paid to Aylen Adventures for the specific booking in question.

We are not liable for:

  • Indirect, incidental, or consequential damages

  • Lost profits or opportunities

  • Emotional distress

  • Punitive damages

8.3 Supplier Liability

Each travel supplier has its own terms and conditions, which limit their liability. You agree to pursue claims directly with the responsible supplier rather than with Aylen Adventures.

8.4 Third-Party Disputes

We are not responsible for disputes between you and:

  • Travel companions

  • Other travelers

  • Third parties at your destination

  • Travel suppliers

9. Your Responsibilities

9.1 Compliance with Laws

You agree to:

  • Comply with all applicable laws and regulations

  • Follow the rules and policies of airlines, hotels, cruise lines, and other suppliers

  • Respect local customs and laws at your destination

  • Do not engage in illegal activities

9.2 Respectful Conduct

You agree to:

  • Treat Aylen Adventures staff with respect

  • Communicate professionally

  • Provide timely responses to requests for information

  • Be truthful in all dealings with us

We reserve the right to refuse service to clients who are abusive, threatening, or disrespectful.

9.3 Timely Communication

You agree to:

  • Respond promptly to requests for information or documentation

  • Review all booking confirmations for accuracy

  • Notify us immediately of any errors or concerns

  • Keep us informed of changes to contact information

10. Intellectual Property

10.1 Our Content

All content on our website, including text, graphics, logos, images, and materials, is the property of Aylen Adventures and is protected by copyright and trademark laws.

Air travel is governed by airline contracts of carriage and may be subject to the Warsaw Convention, Montreal Convention, or other international treaties that limit airline liability.

15.3 International Travel

We recommend purchasing travel insurance with emergency assistance coverage.

  • Ensuring you have appropriate training and fitness

  • Following all safety instructions from activity providers

16. Testimonials and Reviews

We appreciate feedback and may request testimonials or reviews. By providing a testimonial, you:

  • Grant us permission to use your name, photo, and comments in marketing materials

  • Confirm that your testimonial is truthful and accurate

  • Understand that testimonials may be edited for length or clarity

You may request the removal of your testimonial at any time.

17. Gift Certificates and Promotions

17.1 Gift Certificates

If we offer gift certificates:

  • They are non-refundable and non-transferable

  • Expiration dates apply

  • Cannot be redeemed for cash

20.2 Issues During Travel

If you experience problems during your trip:

  • Address concerns with the supplier immediately

  • Document issues with photos, receipts, or written notes

  • Contact us as soon as possible

  • Keep all documentation for potential claims

We can assist with resolving issues, but the supplier is primarily responsible.
